Where is Guild IRL being held? 
Guild IRL is being held in Denver, Colorado at the Sheraton Downtown Denver 1550 Court Pl, Denver, CO 80202.

 

What are the event dates? 
Guild IRL is from Wednesday, April 24 through Friday, April 26. Please plan to arrive in the morning / early afternoon on Wednesday the 24th. Mandatory programming starts at 3:30pm MT, while there is optional programming starting at 12pm MT. Registration on site will open Wednesday at 12pm MT. 

 

How do I register? 
Please register using the Guild IRL Registration portal for the event. We’d like all Guilders to register no later than March 26, 2024. This is a mandatory event unless you are on a planned/scheduled leave of absence. If you have approval not to attend, please register “not attending Guild IRL" via the IRL registration portal. 

 

Is attending Guild IRL mandatory? 
Yes, this is a mandatory event unless you are on a planned/scheduled leave of absence. Our investment in this event reflects our belief that the opportunity to come together in-person has irreplaceable value for both the business and you as a person, and our expectation is that you prioritize attending in person.

 

Will I be able to attend virtually?
You are encouraged to attend IRL, well, in person. We believe in the irreplaceable value of coming together in-person both for the business and for our employees and teams. That said, if you need an exception to attending this event in-person, please discuss it with your manager or People Business Partner. All mainstage programming will be recorded and shared out after IRL. 

 

Is there a dress code? 
Our guidance is business casual (jeans are welcomed!). Guild is an inclusive and casual environment, and your professional clothing can reflect that. 

 

Will there be programming in the evenings? 
There will be evening programming/events on the evenings of Wednesday and Thursday, including dinner. 

 

Will meals be provided?
Yes, all meals from dinner on Wednesday April 24th through lunch on Friday April 26th will be provided as part of the event. Please plan to participate in event meals. 

 

Are you accounting for dietary restrictions?
Yes. Please use the field within registration to let us know how we can best accommodate.

 

How will inclusion and accessibility be integrated into the event?
We always do our best to accommodate any accessibility concerns based on past feedback and best practices. We will have Lactation Rooms, Quiet Accessibility, and Prayer rooms available. If you may need any specific accommodations outside of ergonomic seating, fidgets, closed captioning, etc, please let us know in the registration form. Here are a few other ways we have accessibility in mind: 

  • The agenda will be finalized far enough in advance to give us the ability to print out the slides. 
  • We’ll have a diverse array of food options available as well as non-alcoholic beverage choices
  • We’ll have designated quiet spaces, and scheduling built-in breaks

 

What support will be available to lactating employees?
We have several options available for employees that are currently lactating and either need space, shipping, or additional support. To support, Guild will be providing: 

  • Comfortable spaces for those needing to pump or feed 
  • Information on how to access Milk Stork for shipping pumped milk home
  • Access to our Companion Care Travel Benefit to bring your child (under 12 months) and a companion to Guild IRL.

 

Is Guild offering additional support for employees with caregiving responsibilities? 
Yes. We understand that those with caregiving responsibilities may have some additional needs when traveling which is why we compiled the available resources under Travel Support for Parents and Caregivers to help you plan your IRL travel.

 

Can new hires who start before IRL but after registration closes still attend? 
Yes. Please email events@guild.com so they can get their own unique registration link sent to them directly. 

 

I have a new hire who starts the week after IRL, and would like to attend. Can they? 
Unfortunately, no. Legally we cannot allow future employees to travel to Guild events prior to their start date.

 

Will Guild contractors be permitted to attend the event?
Contractors will not be permitted to attend. Should you have any questions, please email events@guild.com . 

 

I received “Registration not available.” What should I do?
Check to be sure you typed in the correct work email address. Still having trouble? Try an incognito page and/or clear your cache. If you have tried all these troubleshooting steps please reach out to events@guild.com.

How do I book my hotel room?
Employees who live more than 25 miles from the Sheraton are encouraged to stay the nights of Wednesday, April 24th and Thursday, April 25th. 

  • You will book your hotel room when you register for the event, NOT THROUGH NAVAN. 
  • We will provide you with a Sheraton booking link through Passkey where you will be able to make your own reservation, edit, and manage it. To book or modify your hotel reservation (click here). 
  • While a credit card is not required to complete your booking, you will be asked to provide a credit card upon hotel check-in to cover any incidental charges. 
  • Please do not book your hotel outside of the link provided (Navan will be used for FLIGHTS ONLY). 
  • A final hotel confirmation email will be sent once your hotel reservation is booked with the hotel.

 

What if I need to travel early before April 24th and stay after April 26th?
Unlike in years past, there will be no on-sites before or after IRL in the Denver office. We know attending IRL is a big ask, and we want Guilders to be present for the event, not drained from additional on-sites and events happening beforehand. 

  • If you plan to stay additional nights for personal travel, please plan to book the pre/post nights on your own and expect to pay out of pocket. For info on ‘Bleisure’ flights refer to section 2.4 of the T&E policy.

 

What if I'd like to schedule a team onsite the week of IRL?
There will be NO on-sites approved for the week of IRL. We know attending IRL is a big ask, and we want Guilders to be present for the event, not drained from additional on-sites and events happening beforehand.

 

What if I need to change my hotel dates after I submit?
You can change your hotel dates through your hotel booking link (Passkey) that we provided up, to April 15, 2024. After this date, no hotel changes will be accepted through the system, and you can make changes directly with the hotel. The quickest way to change your reservation is by clicking the “Modify Booking” in you Sheraton confirmation email. You will be asked for your booking confirmation number, this is not the same as your registration confirmation number.

 

How do I book my flights?
Please book your flights in and out of Denver International Airport (DEN) through Navan and select IRL 2024 as the event name at checkout. 

  • Programming starts at 3:30PM on Wednesday, and ends on 12:30PM on Friday, so we recommend arriving the morning of Wednesday, April 24 and departing the afternoon of Friday, April 26. 
  • Please note that if you have any unused flight credits in Navan, we kindly request that you utilize them when booking your IRL travel. Visit this link for more details on how to view and use this credit.

 

Is there a code I should use when submitting my expenses? 
You will expense directly through Navan to your team’s budget. Please use the code “IRL 2024”. Directions on how to expense through Navan are located here: User Guide. Any travel meals not provided as part of the Guild IRL event should be expensed via Navan using the “Traveling: Meals for myself” category. These expenses will come from your team’s budget. 

 

Can we book (and expense) our own hotel reservation if we want to stay somewhere else?
No. Guild has negotiated discount rooms at the Sheraton for this event and your booking will be completed for you during registration for Guild IRL.

 

Can we expense rideshares from/to the airport (both DEN and origin)? 
Yes. Please use Navan to expense. Guild will not cover rental cars for IRL. If you choose to rent a car, you will be responsible for those costs and hotel parking. Guild will also reimburse for airport parking if it’s more economical than a rideshare.

 

Can we expense rideshare to and from the venue if we’re local / within 25 miles? 
Yes. Please use Navan to expense, and stick to UberX / regular Lyft (not premium rides). You can also expense public transportation, tolls, and parking. Read more about our Business Travel & Expense policy here.

 

Can I go into the office during this week? 
You are more than welcome to come into the Denver office. If you don’t already have a badge to access the Denver office, you will need to submit a Zendesk ticket to have a badge made for you at least 2 weeks in advance of your travel by using the “Guild Support” button in your Okta. More information can be found here. We encourage you to use open desks denoted with signage that say “Hotel Desk.” Any conference room usage needs to be booked using Google Calendar. 

  • Please note, there will not be any support teams in the office on Thursday and Friday of IRL. Including Workplace Experience and IT Help Desk Support.

Do I need to be vaccinated and/or boosted to attend? 
No. We recommend that all Guilders review our Commitments to Health & Safety and make an individual plan to protect against COVID-19 and other viruses.

 

Will masking be required?
No, not at this time. However, we will follow all city and state ordinances aligned to masking during social activities. We are very supportive of anyone who would like to wear a mask for the entirety of the event. Masks will be provided at registration for all those who wish to wear one. 
 

Will specialists on live channels need to be available for student calls during IRL? How will we keep the business running?  
In order to make sure we are able to meet the needs of our members and learners, we will be running a modified schedule for IRL this year that aims to strike a balance between prioritizing our most urgent channels and making sure specialists are able to participate in as much of the active programming as possible. For when you are scheduled for a shift, we will have a dedicated space onsite for our teams to work their shifts together.
